Salon Chain Cross-Branch Refunds: How to Keep Accounts Right

Cross-Branch Refunds in Salon Chains: Bought at Branch A, Refunded at Branch B

A customer bought at Branch A and asks for a refund at Branch B. Who approves it, cash or credit, and what happens to commission. A guide for salon chains.

When a customer buys a package at Branch A and asks for a refund at Branch B, a salon chain needs four answers decided in advance: who approves the refund, whether it is paid as cash or as credit, what happens to the sales commission, and what happens to the hands-on commission already paid for sessions done. In MyBMS Pro, a package bought at Branch A can be refunded at Branch B; cross-branch refunds need HQ approval, are always returned as refund credit rather than cash, and hands-on commission for completed sessions is not taken back.

Why cross-branch refunds cause arguments

A refund is never just money going back to the customer. In a chain, it touches three parties at once: the branch that collected the payment, the branch the customer is standing in, and the staff who sold or served. Without a rule, each of them answers differently.

Common situations in multi-branch salons:

  • Branch B does not know the package. The customer bought at Branch A, so Branch B has to call someone to find out how many sessions are left.
  • Each branch gives a different answer. One front desk says the refund is possible, another says the customer must go back to Branch A.
  • Cash leaves the wrong drawer. Branch B pays out cash for money that Branch A collected, and month-end accounts no longer match.
  • Staff worry about their commission. The consultant who sold the package and the therapist who did the sessions both want to know whether their commission will be taken back.

I believe a refund rule should be the same at every front desk. When HQ approves every cross-branch refund and gives refund credit, the decision stays consistent and protects both the customer and the branches.

Four rules to set before the first cross-branch refund

Write these down, share them with every branch, and make sure your system follows the same rules.

1. Who approves

A cross-branch refund moves value between branches, so the decision should not sit with one front desk alone. In MyBMS Pro, every cross-branch refund needs HQ approval. Branch B can start the request, but HQ makes the decision.

2. Cash or credit

Decide how a refund at another branch is returned. In MyBMS Pro, cross-branch refunds are never paid out as cash. They are always returned as refund credit, so no branch pays cash for money another branch collected.

3. What happens to sales commission

Sales commission is earned on the payment actually collected (see why sales commission should follow money collected). When a refund happens, the question is whether that commission is taken back. In MyBMS Pro:

  • If a refund is paid back, the system takes back the sales commission only for the part of the package that has not been used (the balance treatments).
  • If the refund is returned as refund credit, the sales commission is not taken back.

Because cross-branch refunds are always refund credit, the consultant at Branch A keeps her sales commission when her customer is refunded at Branch B.

4. What happens to hands-on commission

Sessions already done were real work. In MyBMS Pro, hands-on commission is not taken back on a refund, so therapists at either branch keep what they earned for the sessions they did.

An example: bought at Branch A, refunded at Branch B

A customer buys a facial package at Branch A from a consultant. She does some sessions at Branch A, then moves house and later uses a session at Branch B. After that, she asks Branch B for a refund of the sessions she has not used.

  • Branch B opens her package record and sees the same remaining sessions, the full redemption history and any outstanding balance, including the sessions done at Branch A.
  • Branch B submits the refund, and HQ reviews and approves it.
  • The refund is returned to the customer as refund credit, not cash.
  • The Branch A consultant keeps her sales commission, because the refund is in credit. The therapists at Branch A and Branch B keep the hands-on commission for the sessions they did.

The customer gets a clear answer at the branch she visits. HQ makes one decision. Nobody’s commission changes by surprise.

Where cross-branch refunds fit in your month-end check

Refunds are only one part of cross-branch work. Your chain still needs one package record shared by every branch and a cross-branch settlement report for packages sold at one branch and served at another. For how commission is split when Branch A sells and Branch B serves, read cross-branch package redemption. For the month-end steps, read how to check the cross-branch settlement report.

How MyBMS Pro handles cross-branch refunds

MyBMS Pro is an AI-driven, next-generation SaaS management hub specifically designed for multi-branch beauty salons. For refunds across branches, it gives every branch the same rules:

Diagram of a cross-branch refund in MyBMS Pro: Branch B submits the request on the same package record, HQ approves it, the refund is returned as refund credit instead of cash, and commission is not taken back
  • Refund at any branch. A package bought at Branch A can be refunded at Branch B.
  • HQ approval. Every cross-branch refund needs HQ approval.
  • Refund credit, not cash. Cross-branch refunds are always returned as refund credit.
  • Sales commission. On a refund, only the sales commission for the unused balance treatments is taken back; when the refund is returned as refund credit, sales commission is not taken back.
  • Hands-on commission. Not taken back on a refund. Sessions already done still count.
  • One package record. Remaining sessions, redemption history and outstanding balance, visible at every branch. See salon package tracking.
  • Cross-branch redemption. A package bought at Branch A can be used at Branch B, with commission routed automatically and a cross-branch settlement report.

FAQ

Can a customer get a refund at a different branch from where she bought the package?

In MyBMS Pro, yes. A package bought at Branch A can be refunded at Branch B, after HQ approves the refund.

Are cross-branch refunds paid in cash?

Not in MyBMS Pro. Cross-branch refunds are always returned as refund credit, not cash.

Is the consultant’s sales commission taken back when a package is refunded?

It depends on how the refund is returned. If it is paid back, only the sales commission for the unused balance treatments is taken back. If it is returned as refund credit, the sales commission is not taken back. Cross-branch refunds are always refund credit.

Do therapists lose commission for sessions already done?

No. In MyBMS Pro, hands-on commission is not taken back on a refund, because the sessions were already done.

Is there a MyBMS Pro mobile app?

No. MyBMS Pro is a web-based system used in the browser.
