When a customer’s phone number or IC number is entered wrongly, WhatsApp reminders cannot reach them and staff struggle to find the right customer record, so bookings, package balances and visit history end up on the wrong record or split across two. The fix starts at the counter: check the format the moment the details are entered, with Malaysian phone number and IC format validation in your salon system, and add a simple front-desk habit of reading the details back to the customer.
What goes wrong when phone or IC details are wrong
A single wrong detail rarely looks serious on the day it is typed. The problems show up weeks later, and they cost money:
- WhatsApp reminders do not arrive. The reminder goes to a number that does not exist or belongs to someone else. The customer forgets the appointment, the slot stays empty and the therapist waits. See how reminders cut no-shows in reducing salon no-shows with WhatsApp.
- Staff cannot find the customer at the counter. When the number on file does not match what the customer says, staff often give up searching and create a new record.
- Package balances get split. With two records, remaining sessions, redemption history and outstanding balance sit in different places. The customer is told the wrong balance, and the salon loses track of the sessions it still owes. Read more about package balance tracking.
- Win-back messages go nowhere. A customer who has stopped visiting cannot be reached to book the remaining sessions, so the unused package stays on your books as a liability.
- Chains feel it more. A customer who buys at Branch A and visits Branch B can only redeem smoothly if Branch B finds the same record.
One wrong digit in a customer’s record breaks everything that follows: WhatsApp reminders, finding the record and following up. Rather than cleaning up afterwards, get the format right at the counter, the moment the details are entered.

Why customer details are entered wrongly
Most errors come from ordinary moments at a busy front desk, not from careless staff:
- Typing in a rush during peak hours, with a queue at the counter.
- Different ways of writing the same number, with or without the country code, spaces or dashes.
- Swapped or missing digits in a phone number or IC number.
- Someone else’s number, such as a family member’s phone used when booking.
- Paper forms typed in later, when handwriting is hard to read and the customer has already left.
How to keep customer phone and IC details accurate
- Check the format at entry, not later. A system that validates Malaysian phone number and IC formats stops an obviously wrong entry before the record is saved.
- Read the details back to the customer. A format check cannot tell whether a correctly formatted number really belongs to this customer. Reading it back takes a few seconds and catches the rest.
- Look for an existing record before creating a new one. Make it a front-desk rule: search first, create only when the customer is truly new.
- Treat a failed reminder as a warning. If a customer says they never received a WhatsApp reminder, check and correct their number at that visit.
- Keep one record across branches. For chains, every branch should work from the same customer record, so a package bought at Branch A can be redeemed at Branch B.
- Collect only what you need, and handle it carefully. Decide which details your salon actually needs and why. For handling customer data responsibly, see our PDPA guide for salons.
How MyBMS Pro helps keep customer records accurate
MyBMS Pro is an AI-driven, next-generation SaaS management hub specifically designed for multi-branch beauty salons. These features work together to keep customer details usable:

- Local format validation. Built-in checks for Malaysian phone number and IC formats when customer details are entered.
- WhatsApp reminders. Booking reminders are sent automatically by WhatsApp, so a correct number pays off at every visit.
- Automatic interval scheduling. The next session is planned at the standard treatment interval, and the reminder goes to the number on file.
- Membership and course tracker. Remaining sessions, redemption history and outstanding balance for every customer, with redemption at the same branch or another branch.
- AI dormant customer alert. Customers who have not visited for 90 days are flagged, so you can reach them while their package can still be used.
- HQ–branch structure. HQ has an overview of every branch while each branch works on its own, for chains that serve the same customers in more than one outlet.

FAQ
Why are my salon’s WhatsApp reminders not reaching some customers?
One common reason is a wrong or wrongly formatted phone number in the customer record. Check the number with the customer at their next visit and correct it, so later reminders reach them.
Can a salon system stop staff from entering a wrong phone number?
It can check the format. MyBMS Pro validates Malaysian phone number and IC formats on entry. A system cannot know whether a correctly formatted number belongs to the customer, so staff should still read it back.
Why does the same customer have two records in our system?
Usually because staff could not find the existing record, often due to a wrong number, and created a new one. A search-first rule at the front desk, plus accurate details from the start, prevents most cases.
Should a beauty salon collect customers’ IC numbers?
Decide based on what your salon actually needs, and handle personal data carefully. Our PDPA guide for salons covers how to handle customer data.
Is there a MyBMS Pro mobile app?
