Physiotherapy Package Management: Track Every Session

Physiotherapy Package Management: How to Track Every Session, Balance and Follow-Up

How a physiotherapy centre in Malaysia can track session packages: sessions left, outstanding balance, follow-up reminders and patients who stop coming.

To manage treatment packages at a physiotherapy centre, keep one record for each patient that shows how many sessions are left, every session already used (date, branch and therapist) and any balance still owed. Then plan each next session at the right interval, send reminders automatically, and follow up early with patients who stop coming before their package is finished. Every unused session is a service the centre still owes, so the package record is as much a financial record as a clinical one.

Why session packages are hard to manage in a physiotherapy centre

Physiotherapy is rarely a single visit. Patients usually buy a block of sessions, and that is where the trouble starts:

  • Sessions are tracked on cards or spreadsheets. A patient says she has three sessions left; the front desk’s sheet says two. Nobody can prove which is right.
  • Payments do not match usage. Some patients pay in full, some pay part now and the rest later, some pay with Atome. The centre needs to know what has actually been collected against each package.
  • Patients stop coming halfway. Once the pain eases, many patients simply stop booking. The unused sessions stay on the books, and the treatment plan is never completed.
  • Therapists and front desk work from different information. The therapist knows what the patient needs next; the front desk only knows what is in the appointment book.
  • A second branch doubles the confusion. A patient who bought a package at one branch wants to continue at the other branch closer to home.

Each of these touches the centre’s money: unrecorded sessions, unpaid balances, packages that turn into long-term liabilities and disputes over who did the work.

Many physiotherapy centres I have worked with tracked remaining sessions with paper files at the front desk, or with a card the patient brought along. The most common dispute happened when a patient forgot the card and the front desk also forgot to deduct the session by hand. Afterwards, both sides remembered a different number of sessions left, and the centre usually absorbed the loss quietly so it would not lose the patient.

What a physiotherapy package record should show

Whatever system you use, every package should answer three questions at a glance:

  1. Sessions remaining. How many sessions the patient has left in this package.
  2. Redemption history. The date, branch and therapist for every session already used.
  3. Outstanding balance. How much the patient still owes on the package, if anything.

If the front desk and the therapist can both see these three things before the patient walks in, most disputes disappear.

Which system can track physiotherapy session packages and patient appointments?

A system for this job has to keep the package and the appointment book together, so the front desk never books a session without knowing what is left in the package. When you compare systems, check these six things:

  1. Package and appointments in one patient record. The package, remaining sessions, balance and upcoming appointments sit in the same place.
  2. Automatic deduction after each session, at whichever branch the patient is treated.
  3. Remaining sessions easy to check before every visit, so the front desk can talk about renewal before the last session, not after it.
  4. A list of patients who bought a package but stopped coming.
  5. A view of every unused session in the centre. This is treatment the centre still owes, which makes it a liability.
  6. Which therapist is free, and fair commission when one person sells the package and another delivers it.

In MyBMS Pro, points 1 to 3 are covered by the membership and course tracker, and point 1 also by automatic interval scheduling, WhatsApp reminders and online booking. Point 4 is the AI dormant customer alert, point 5 is package liability and redemption monitoring, and point 6 is real-time staff status with the two-track commission engine. Clinical records are a separate question, covered below.

How to manage physiotherapy packages in five steps

Five steps to manage physiotherapy packages: record the package and payment, redeem each session, plan the next session, send a WhatsApp reminder and follow up missed sessions

1. Record the package and the payment correctly at the point of sale

Create the package in the system when it is sold, with the number of sessions and the amount collected. If the patient pays with Atome, record the amount the centre actually receives after the platform’s fee, so your revenue and any sales commission are based on real money. We explain this in Atome and commission.

2. Redeem every session against the package

Each time a session is completed, deduct it from the package straight away. The remaining sessions and history update immediately, whether the patient is treated at her own branch or at another branch in the group.

3. Plan the next session before the patient leaves

Treatment plans work only if sessions happen at the right interval. Plan the next visit according to the treatment’s standard interval, confirm the slot at the front desk, and let the system send a WhatsApp reminder automatically. Patients can also book online. This is the same approach that helps reduce no-shows with WhatsApp reminders.

4. Follow up when a planned session is missed

Do not wait until the end of the month to notice that a patient has gone quiet. When a planned session is missed, contact the patient and offer new time slots, mentioning the sessions still left in the package. MyBMS Pro’s AI dormant customer alert also flags patients who have not visited for 90 days and still have unused sessions, so nobody falls through the gaps.

5. Pay therapists fairly for the work they do

If a staff member sells the package and a therapist delivers the sessions, both should be rewarded. A two-track model pays sales commission in tiers on the total amount collected, and hands-on commission when a session is redeemed. That way therapists are not discouraged from taking patients they did not sell to. Read more in our staff commission guide.

Clinical records: questions to ask any vendor

A physiotherapy centre also handles clinical information. Before choosing any system, ask the vendor to show you, in the demo, how it handles:

  • assessment notes and treatment plans;
  • progress notes for each session;
  • doctor referral letters, if you receive them;
  • insurance or company panel claims, if you accept them;
  • who can see clinical information at each branch.

Keep this checklist separate from package tracking. A system can be strong in one area and weak in the other, so test both.

How MyBMS Pro supports physiotherapy package management

MyBMS Pro is an AI-driven, next-generation SaaS management hub specifically designed for multi-branch beauty salons. Its package and booking features apply directly to session-based services such as physiotherapy:

  • Membership and course tracker. Remaining sessions, history and outstanding balance for every patient, redeemable at the same branch or across branches.
  • Automatic interval scheduling and WhatsApp reminders. The next visit is planned from the treatment interval, and reminders are sent automatically.
  • Online booking. Patients can book online and receive WhatsApp reminders.
  • AI dormant customer alert. Patients with unused sessions who have not visited for 90 days are flagged for follow-up.
  • Package liability and redemption monitoring. Unused sessions are tracked as service the centre still owes, and the package redemption rate shows whether patients are completing their treatment.
  • Real-time staff status. See which therapist is free or in session, how many patients each has seen today and this month’s top performers, to help assign patients.
  • Two-track tiered commission engine. Sales commission on total collection, hands-on commission on redemption.
  • Atome support. The amount actually received after the platform’s fee is recorded and used as the basis for sales commission.
  • HQ–branch structure. HQ can see and book for every branch, while each branch runs its own day.
  • Built for Malaysia. Local phone and IC format checks, and e-Invoice.

FAQ

Which system can track physiotherapy packages and appointments in Malaysia?

Choose a system that keeps each patient’s package, remaining sessions, balance and appointments in one record, deducts sessions automatically, sends WhatsApp reminders and flags patients who stop coming. MyBMS Pro does this for session-based services. It was built for multi-branch beauty salons, so ask about any clinical records your centre needs during the demo.

How do I know how many sessions my centre still owes patients?

Treat unused sessions as a liability. MyBMS Pro monitors unused packages and the package redemption rate, so you can see how much treatment the centre still owes and whether patients are completing their courses.

How do I track how many physiotherapy sessions a patient has left?

Create each package in your system with the number of sessions, and deduct a session every time one is completed. The remaining sessions, history and balance then stay up to date in one record that the front desk and therapists can both see.

What should I do when a patient stops coming before the package is finished?

Contact the patient as soon as a planned session is missed, remind her how many sessions are left and offer new time slots. In MyBMS Pro, patients who have not visited for 90 days and still have unused sessions are also flagged automatically.

Is there a mobile app?

No. MyBMS Pro is a web-based system used in the browser. You can book a free demo to see it with your own packages.
