Nail Salon Consumables: Deduct Stock with Every Service

Nail Salon Consumables: How to Know What Each Service Uses and Deduct Stock Automatically

How a nail salon in Malaysia can know what gel polish, tips and other consumables each service uses, and deduct stock automatically when a service is done.

To control consumables in a nail salon, list what each service normally uses (gel polish, base and top coat, tips, files, remover and so on) as a bill of materials for that service, and deduct those items from stock automatically every time the service is completed or a package session is redeemed. You then know the real cost of each service, you can spot items that run out faster than the services explain, and you reorder before a colour or product runs out.

Why consumables slip away in a nail salon

  • Many small items per service. One set can use several products, and none of them is counted at the counter.
  • Popular colours run out without warning. A favourite shade is often discovered empty only when a customer asks for it.
  • Repairs and redos use stock too. Fixing a broken nail or redoing a set uses products that never appear on a bill.
  • Package customers are easy to forget. When a prepaid session is redeemed, nothing is paid at the counter, so the products used are not tracked at all.
  • Branches see only their own shelves. In a chain, one outlet may be short while another has plenty.

Nail salon consumables are small, so many owners feel they are not worth counting. But small items add up, and that is often where the margin quietly disappears. Deducting stock with every service is how an owner finds out what each service really earns.

Build a BOM for every nail service

Diagram of four steps to build a BOM for a nail service: list the products, set a normal usage, link the BOM to the service, and compare stock regularly

A bill of materials (BOM) is simply a list of the consumables a service normally uses. Write one for each service on your menu:

  1. List the products. Gel polish, base coat, top coat, tips, extension gel, files, wipes, remover, and anything else the service uses.
  2. Set a normal usage for each product. Agree on it with your senior nail technicians, so it reflects how the work is really done.
  3. Link the BOM to the service. When the service is completed, or a package session for it is redeemed, the listed products are deducted from stock.
  4. Compare stock with the system regularly. If a product disappears faster than the services explain, find out why: waste, redos, or products leaving the shop.

The same method for beauty treatments is explained in salon consumables BOM.

What changes once stock is deducted per service

  • You know the real cost of each service, before you set prices, packages or commission. See how this affects packages in nail salon packages and memberships.
  • Package sessions are no longer invisible. Redeeming a session deducts the products just like a paid service.
  • Reordering becomes planned. You see what is running low before a customer asks for it.
  • Unusual usage stands out. Gaps between expected and actual stock are a prompt to check, not a guess.

For nail salon chains

When you run more than one outlet, let HQ see the stock at every branch and send products where they are needed. Branches request replenishment, HQ approves it, and each branch keeps its own stocktake. More in multi-branch salon inventory.

How MyBMS Pro handles nail salon consumables

MyBMS Pro is an AI-driven, next-generation SaaS management hub specifically designed for multi-branch beauty salons. For nail salons, two features do the work:

Diagram of nail salon stock deduction in MyBMS Pro: service completed or package session redeemed, consumables deducted by the service BOM, stock updated, and branch replenishment approved by HQ
  • Treatment BOM with double deduction. When a bill is closed or a package session is redeemed, the session count and the salon-use consumables are deducted at the same time.
  • Global inventory dispatch. HQ sees stock at every branch and sends products; branches request replenishment for HQ approval; each branch keeps its own stocktake.

FAQ

How do I know how much gel polish each nail service uses?

Agree on a normal usage for each service with your senior technicians and record it as the service’s bill of materials. Then compare stock with what the system expects.

Can stock be deducted automatically when a nail service is done?

Yes, if each service has a bill of materials linked to it. Completing the service, or redeeming a package session, deducts the listed products.

Why does my nail salon keep running out of popular colours?

Usually because products are not deducted when they are used, so stock levels are only known when someone checks the shelf. Deducting per service shows low stock earlier.

Is there a MyBMS Pro mobile app?

No. MyBMS Pro is a web-based system used in the browser.
