If you are choosing software for a multi-branch aesthetic clinic in Malaysia, look for a system that manages the money that moves between branches: treatment courses that a patient can continue at any branch, commission that is split fairly between the branch that sold and the branch that treated, consumables deducted for every treatment, the payback of each expensive machine, and one HQ view of every branch. MyBMS Pro is built around this HQ–branch structure. Clinical needs such as patient records and consent forms are a separate checklist, so ask every vendor to show them in the demo.

Why a second clinic branch changes what your software must do
One clinic can run on one front desk, one appointment book and the owner’s memory. A second or third branch breaks that, because patients, staff, stock and machines start crossing between locations:
- Courses are sold at one branch and continued at another. A patient buys a course near her office, then wants her next sessions at the branch near her home. Someone has to see her remaining sessions and outstanding balance at both.
- Commission becomes a cross-branch question. The consultant who sold the course and the therapist who performed the session may work at different branches. Without clear rules, staff chase sales and avoid redemption work.
- Consumables are used at every branch. Gel, serum and probes are used session by session, and the owner cannot tell whether a branch’s usage matches its treatments.
- Expensive machines sit at different branches. One device may be fully booked while another is idle, and nobody knows which one has actually paid for itself.
- The owner sees the numbers late. Branch figures arrive at month end, when it is too late to act.
Each of these touches money directly: course liabilities that are not tracked, commission disputes, hidden consumable waste and machines bought on guesswork.
The multi-branch owners I’ve worked with used to rely on front desk staff messaging each other on WhatsApp to confirm remaining sessions whenever a customer bought at Branch A and had her treatment at Branch B. At month end, the two branch managers most often argued over whose sales it was, how to split the service fee, and which branch should bear the cost of the machine and consumables.

Software for a multi-branch aesthetic clinic: six things it must handle

1. Treatment courses that work at every branch
Most aesthetic treatments are sold as a course, not a single visit, so every unused session is something the clinic still owes the patient. The system should keep, for each patient, the remaining sessions, the redemption history and any outstanding balance, and let the patient redeem a session at her own branch or at another branch with the same record.
2. Commission that follows both the sale and the treatment
A fair model pays two kinds of commission. Sales commission is calculated in tiers on the total amount actually collected. Hands-on commission is triggered when a session is redeemed from the package or a service is performed. When a course is sold at Branch A and redeemed at Branch B, the system should route each commission to the right person and branch and produce a cross-branch settlement report for month-end reconciliation. If patients pay through Atome, commission should be based on the amount received after the platform’s fee. Our staff commission guide explains the two-track model in detail.
3. Consumables deducted with every treatment
When a treatment is completed or a session is redeemed, a treatment bill of materials (BOM) should deduct both the session from the package and the consumables from the branch’s stock at the same time. Comparing expected usage with the stocktake then shows where waste is happening. We cover the calculation in aesthetic clinic cost per treatment.
4. Payback for each machine, not just total revenue
High-value devices should be treated as fixed assets. The system should work out the depreciation cost of each use and the true margin per treatment, and show a payback progress bar and accumulated revenue for every machine. That turns the next machine purchase, or the decision to move a device to a busier branch, into a decision based on figures. See how to calculate beauty machine ROI.
5. Follow-ups planned at the right interval
Courses only finish if patients come back on time. The system should plan the next visit according to each treatment’s standard interval and send WhatsApp reminders automatically. Patients who have not visited for 90 days and still have unused sessions should be flagged as dormant, so a branch can contact them. Read more in aesthetic clinic follow-up scheduling.
6. HQ control without taking over each branch
HQ should be able to arrange bookings for any branch, see stock at every branch, dispatch items and approve replenishment requests, while each branch keeps its own stocktake and runs its own day. HQ also needs its own POS for gift vouchers and online orders, and one dashboard for daily traffic, revenue trends, target achievement and outstanding balances.
Clinical records: questions to ask any vendor
Aesthetic clinics also handle clinical information. Before you sign with any system, ask the vendor to show you, in the demo, how it handles:
- patient records and treatment notes;
- consent forms;
- before-and-after photos;
- prescriptions, if your clinic issues them;
- who can see this information at each branch.
Keep this checklist separate from the business side above. A system can be strong on one and weak on the other, so test both. For the compliance basics, read our aesthetic clinic operations guide.
A demo checklist for a multi-branch clinic
Ask the vendor to do these steps live, using two branches:
- Sell a course at Branch A and redeem one session at Branch B.
- Open the patient’s record and check the remaining sessions and outstanding balance.
- Check who earned the sales commission and who earned the hands-on commission.
- Complete a treatment and check that the consumables were deducted from Branch B’s stock.
- Open the payback view for one machine.
- Plan the next visit and check that a WhatsApp reminder is scheduled.
- Raise a stock request at Branch B and approve it from HQ.
- Open the cross-branch settlement report for the month.
If a step needs a spreadsheet or a phone call, it will stay manual work as you add branches.
How MyBMS Pro fits a multi-branch aesthetic clinic
MyBMS Pro is an AI-driven, next-generation SaaS management hub specifically designed for multi-branch beauty salons. The same HQ–branch structure fits aesthetic clinic groups:

- Two-track tiered commission engine. Sales commission on total collection, hands-on commission on redemption, routed automatically between branches.
- Treatment BOM and stock module. Sessions and consumables are deducted together when a bill is closed or a session is redeemed.
- Machine ROI calculator. Cost per use, true margin, payback progress and accumulated revenue for each device.
- Automatic interval scheduling, WhatsApp reminders and AI dormant customer alert.
- HQ–branch structure. Central booking, global stock dispatch with approval, an HQ POS and the AI dynamic business dashboard.
- Built for Malaysia. Local phone and IC format checks, e-Invoice and Atome support.

MyBMS Pro is a web-based system used in the browser. HQ uses the Enterprise plan and each branch uses the Pro plan, billed separately per branch. See more on our aesthetic clinic solution page.
FAQ
Can a patient continue her course at another branch?
Yes. In MyBMS Pro a course bought at one branch can be redeemed at another. The remaining sessions and outstanding balance stay in one record.
Who earns commission when one branch sells and another branch treats?
The consultant who sold the course earns sales commission based on the amount collected. The therapist who performed the session earns hands-on commission when it is redeemed. The system routes both and produces a cross-branch settlement report.
Can we see the real cost of each treatment at each branch?
Yes. The treatment BOM deducts consumables with every session, and the machine ROI calculator shows the cost per use and payback of each device.
Can HQ see every branch in one place?
Yes. HQ can book for any branch, see stock across all branches, approve replenishment requests and follow daily figures on one dashboard.
Is there a mobile app?
No. MyBMS Pro is a web-based system used in the browser. You can book a free demo to see it with your own branch setup.
